BACKGROUND:
During the February 5, 2024, council meeting, Town Council approved the expenditure of budgeted funds for Datto services through ThinkGard (Item G.9. 23-294). Shortly after this meeting and before payment was made to ThinkGard, Staff received an updated quote to continue Datto services at the same lower rate ($21, 588, TIPS Cooperative contracted rate) with our current vendor, ITPartners+. ITPartners+ also notified Staff that, per our signed contract, we are required to give notice at least 60 days before terminating service, which had not been provided to ITPartners+. To avoid any possible downtime or break in backup services, and with similar functionality and services provided by ITPartners+, Staff recommends continuing Datto services with ITPartners+ for one year (January 1, 2024, through December 31, 2024) at a rate lower than planned in the FY24 budget ($24,200 budgeted, actual invoiced price is $21,588). The contract and services will be re-evaluated in September 2024 to allow sufficient time for notice to be given if necessary.
All on-site Town of Westlake and Westlake Academy servers are backed up to local storage as well as cloud storage using Datto software and hardware. It is a fully automated backup process that includes automated screenshots of each backup to provide verification of a successful backup. Each backup is automatically saved in multiple locations for redundancy, including an on-site backup appliance and secured data centers in the US.
FISCAL IMPACT:
The approved FY24 budget includes $24,200; the negotiated yearly rate of $21,588 results in a savings of $2612 this fiscal year.
STAFF RECOMMENDATION:
Staff recommend approving the expenditure of budgeted funds in the amount of $21,588 to ITPartners+ for Datto backup, storage and disaster recovery services for Westlake Academy and the Municipality.
