BACKGROUND:
A group of donors have requested that improvements to top-dress and prepare the Westlake Academy football and soccer fields for the upcoming season be made. The planned football field improvements and repairs include additions and improvements to the drainage and irrigation systems, recrowning and adding new live turf, goal posts, and soccer goals. Planned enhancements for the soccer or multi-purpose field include the addition of synthetic turf, goal posts and soccer goals. There will also be a new scoreboard installed.
DISCUSSION:
The Athletic Director and several coaches have expressed concerns that the current condition of the playing surface on the football field is uneven, has small potholes in it and is dangerous for athletes. Several donors have asked that this temporary repair to the playing surface be included in the overall field renovation project for which a group of citizen donors are collecting donations to fund. Staff received several bids for the top-dress and field preparation with GEO Surfaces being the cheapest. Geo Surfaces is listed on Buy Board, a purchasing consortium, which aids governments and businesses in ensuring the best pricing for expensive products and services and removes our requirement to bid out the project.
FISCAL IMPACT:
The Town would pay the initial invoice for the work being completed from unassigned general funds. A donation in the full amount has already been made and verified to the Westlake Academy Foundation to fully reimburse the Town for the temporary field repairs.
